Information for Presenters
Request to Session Chairs
- Please be seated at the session chair’s seat at the front of the hall at least 10 minutes before the start of your session.
To Oral Presenters
Please note that, in principle, the venue’s PC will be used for presentations.
- Please bring your presentation file (ppt or pptx) saved on a USB flash drive. The file will be uploaded to the PC provided by the secretariat (Windows 11 with Microsoft Office), and a preview will be conducted. Be sure to perform a virus check on your USB drive beforehand. The file name should be formatted as:
Presentation Number_Your Name. Mac computers will also be available at the venue for those who need it. - We recommend creating your slides in a 16:9 aspect ratio. If your slides are in 4:3, they may appear smaller on the screen.
- If you are scheduled to present in the morning, please upload and preview your file before the first session of the day. If you are presenting in the afternoon, please do so before the first afternoon session. We kindly ask that you arrive with enough time to complete this process.
- All data provided will be securely deleted by the secretariat after the conclusion of the session.
- Optional: If you prefer to use your own laptop for the presentation, please conduct a preview during the designated times (i.e., before the first session in the morning for morning presenters, or before the first afternoon session for afternoon presenters). If your laptop does not have an HDMI output, please bring the necessary adapter.
- Presentations should be given in English primarily.
- Presenters are expected to operate the keyboard and mouse provided on the podium themselves. A laser pointer will also be available for your use.
- Please be seated in the “next presenter” seat at the front left side of the hall at least 10 minutes before your session starts.
- The presentation schedule is tight. Please adhere strictly to the allotted time to allow adequate time for questions.
- Young Oral Presentations: 8 minutes presentation + 2 minutes Q&A + 1 minute transition
- General Oral Presentations: 15 minutes presentation + 3 minutes Q&A + 1 minute transition
- The passage of time will be indicated by a bell at the following intervals:
- Young Oral Presentations: 1 bell at 7 minutes, 2 bells at 8 minutes (end of presentation), 3 bells at 10 minutes (end of discussion).
- General Oral Presentations: 1 bell at 13 minutes, 2 bells at 15 minutes (end of presentation), 3 bells at 18 minutes (end of discussion).
- A few presenters from the Young Oral Presentations will be selected for the Young Presentation Award.
To Poster Presenters
- Posters should be prepared in English. The poster board size is 210 cm (height) × 90 cm (width). We recommend using A0 size (118.9 cm height × 84.1 cm width) for your poster.
- The poster session will be held on the 2nd floor. Posters will be displayed on the following days: Tuesday, October 21, and Wednesday, October 22.
- Poster numbers (last three digits) will already be affixed to the poster boards. Please check your assigned location and put up your poster on the corresponding board. Push pins for mounting posters will be provided by the secretariat.
- Posters should be put up by noon on both days.
- Please remove your poster promptly after the presentation time has ended.
- Presentation times are as follows. During your presentation, please wear the designated ribbon. Each presenter is expected to give their presentation on either Tuesday, 21st (P-001–085) or Wednesday, 22nd (P-086–170), depending on their poster number.
- P-(odd numbers): October 21, 17:05–17:55, and October 22, 17:00–17:50.
- P-(even numbers): October 21, 17:55–18:45, and October 22, 17:50–18:40.
- Please note: Posters left up after the presentation period will be collected by the organizing committee.
- A few presenters under the age of 35 at the time of presentation will be selected for the Poster Award.
